The budget database is updated
yearly with thousands of records which comprises the budget. Note that the
year drop down boxes contain only the years for which there is data.
You may select either an college/unit or a budgetary unit (BU) on which to search which you
can then combine with a name search. The colleges/units are larger divisions of
the university while budgetary units are smaller divisions such as individual departments.
An college/unit may be composed of several budgetary units. You do not have to select an entity or
a unit if you are searching for a specific item or person.
When selecting criteria from any of the search items, be aware that the
more specific you are in choosing your criteria, the quicker the information
will be presented and the easier it is to find the records for which you
When searching for a name, by default the search engine tries to locate
records which have exact matches for all of the words entered in your search
query. If that fails, it then tries to locate pages which contain any words
in your search query. For example, if you want to find budget items for
Betty Jones, typing in just “Jones” will find all items with Jones in
the name. This may return dozens of records, however, unless you
know the exact format of the information, a search will not find “Betty J
ones” if it is stored in the database as “Jones, Betty”.
Be aware that the
database may have several different formats for a name or budget item: Jones, B.;
B Jones; B. A. Jones; etc. depending upon which department or entity the item
is affiliated. Even though it may return extraneous records, using a portion of
the name is usually the best way to find a specific item.
When searching on name only, note that some employees may have more than one line item
displaying. These employees work in several different departments and receive
salary support from each. An asterisk will appear next to an employee's name indicating that
even though there may be two or more line items, the employee does not receive duplicate
salary support. The annual salary
is the grand total for their entire compensation.
